Use Keyboard Shortcuts to Work Faster in Outlook

The most efficient computer users are those who rarely take their hands off their keyboards. If you want to be among them, learn to use keyboard shortcuts for commonly used commands. Own Your Inbox offers a batch of keyboard shortcuts for Outlook users, including:

  • Send message: ALT+S
  • Forward: ALT+F
  • Reply: ALT+R
  • Reply to All: ALT+A
  • Undo: CTRL+Z
  • Flag for Follow-Up: SHIFT+CTRL+G
  • Switch to Mail/Inbox: CTRL+1
  • Switch to Calendar: CTRL+2
  • Switch to Contacts: CTRL+3
  • Switch to Tasks: CTRL+4

I’m pretty adept at using shortcuts in Microsoft Word, but I hadn’t really bothered with them in Outlook. But now that I think of it, I reach for my mouse in that program more than any other, so I’ll definitely start putting these to use. How about you?

    Useless article!

    If you are advocating productivity - please have the decency to publish CORRECT shortcuts. I am an avid keyboard user myself and I can vouch that many the shortcuts here are INCORRECT. Try them yourself!

    Reply = CTRL + R
    Forward = CTRL + F
    Reply to all = ALT + L (on an open email only!)

    I am starting to wonder about the quality of people who post articles here!

    Actually, both the CTRL- and ALT- versions work for Reply and Forward in Outlook 2007 (not sure about previous versions).

    If you are using the Outlook interface (rather than the Word interface available in previous versions), you can send by using Alt+S or Ctrl+Enter. In 2007, Ctrl+Enter is an Advanced Option that you can toggle (Tools, Options, E-mail Options, Advanced E-mail Options).

    Ctrl+1 takes you to whatever folder you are in, in Mail. If you wish to go directly to your Inbox, use Shift+Ctrl+I

    Regardless of where you are in Outlook, you can press Shift+Ctrl+M to create a new Mail Message (similarly, Ctrl+Shift+A for an appointment, N for Note)
